Keynotes to keep in mind when filling out the Performance Review Form:
Performance evaluations are important because they are used to promote communication and can provide useful feedback to the employee in regard to their historical record of performance and to contribute to professional development for their future.
To ensure your employees can contribute meaningfully to the company’s success, here are techniques to improve their performance:
Set clear goals - To keep employees at their best, it is necessary to communicate your expectations in clear language. Employees need to understand their work assignments, duties, responsibilities, and result and how to achieve them. Provide consistent feedback to help them make sense of their objectives.
Individualize employee motivation - Employees have diverse personalities that require different styles of leadership and motivation. Try to understand your employees and the best way to approach each individual to improve their performance. By knowing your employees’ individual strengths and weaknesses, you can help them attain better outcomes by placing them in positions where they can maximize their talents and experiences.
Ask for feedback - Many of the issues making your employees underperform may be out of their control. This makes it vital to always ask for their feedback and suggestions on how to improve working conditions and increase productivity. Listening to employees’ concerns can help management identify easier ways of solving problems, improve workplace relationship and boost the achievement of organizational goals.
Reward Improvement - Another way to boost performance is to reward employees who achieve their goals. The point is to demonstrate your appreciation of their commitment to the organization, but it also does not always have to be in the form of compensation and can be provided in the form of verbal praise.
Filling out the Performance Review Form:
The Performance Review Form has an easy-to-read format that separates everything you need to review, and it allows you to rate their performance on a scale from 1 (Unsatisfactory) – 5 (Exceptional). As you go through the questions, we would like to highly encourage writing a brief explanation for each question. The brief explanation not only allows you to make note of what you will cover with the employee when you speak with them, but it also allows the employee to have that extra note to review on their own. So, if the employee is performing anywhere from a 1-3, I would make sure you include steps on how the employee can better perform and what they may need to work on to get a higher rating for next year. If they are scored a 4 or a 5, then you can utilize this space to just give them that sense of praise so that they know they are doing a great job.
Halfway through the form you will notice that there is a section for employees with supervisory responsibilities, if your employee is NOT a supervisor, please feel free to skip over this section.
Last but not least, the last page of the Performance Review Form allows you to set new goals for the employee, and to reflect on their current contributions to the company. I would go in depth with this section so that the employee has a clear explanation to look back on when they are working on their goals for the year.
Steps for when the Performance Review Form is Complete:
Once you have finished filling out the form, if you have chosen to include a pay increase, you will need to get with the VP of Finance so that you can discuss the amount.
When you have all the information together and are ready to go over the employees performance review, I would make sure that you set up a time slot to go over everything with the employee in person or via Teams video chat.
Make sure to ask for feedback and take notes, there may be some items that you as the direct supervisor can work on WITH the employee to better their performance. This opens up a new line of communication as well!
Submitting Performance Review to Paycom:
Open Paycom and sign into your Client-Side Profile
Hover over Talent Management and click on Personnel Action Forms
Click on Create Personnel Action Form Transactions
Locate the employees name (May be easier to search at the top) and click on it.
Select a PAF action type for your employee:
You will choose Employee Review Form
PAF Reason:
Select the proper type of review and if it includes a pay increase:
Effective Date – this is the date that you gave the performance review.
***If there is a pay increase – you will need to enter the new Pay Rate.
Display in ESS upon Final Approval – if you select this option then the performance review will be available for the employee to see on their ESS Paycom Login.
Comments – feel free to enter any extra comments you feel is necessary.
Upload Document – upload the employees Performance Review Form
Submit and Email
