How to work the Efile Citation Retrieval Queue.

EFILE CITATION RETRIEVAL QUEUE INSTRUCTIONS

IN FAST:

  • Open Jobs by queue

  • Click Efile Citation Retrieval

  • Sort Columns by Court

  • Locate all courts that do not require conformed copies – Please see Conformed Copies Not Required list.

  • Make court status note: Frequent item: 13a

  • Assign job to 'Sent to Court'

Tarrant COUNTY only. CCL1, CCL2 etc.:

  • PLEASE MAKE A NOTE THAT STATES” Court will issue citations directly to attorney”

  • Assign job to queue named “awaiting physical documents from client”

WITH THE REMAINING JOBS:

  • Click Hot Keys

  • Click Excel Export

IN EXCEL:

  • Sort by Court

  • Select and 'Copy' job numbers for one court

IN FAST:

  • Paste job numbers into Actions on Stack (Do this by court to avoid mix ups)

  • Highlight all jobs

  • Click With Selected Jobs

  • Click Batch Query Docs

  • Choose document type “Conformed Copy” and submit

ON YOUR DESKTOP:

  • Save the ZIP file locally

  • Locate the ZIP file on your computer

  • Extract the ZIP file

  • Print all the conformed copies within folder

RETURN TO THE FAST SYSTEM:

  • Highlight all jobs

  • Select Alt D on keyboard to print dynaforms

  • Type “E file – Citation Request” and double click

  • Print

  • Match “conformed copy” and “efile citation request

  • Repeat for all jobs on the Excel list

  • If we need a SOS (secretary of state) citation, the court requires 2 filed petition copies per citation/job #. So if there are two jobs/citations needed, you would mail in four copies total, to begin with.

ONCE JOBS ARE PREPPED:

  • Enter all jobs into Actions on Stack

  • Highlight all jobs

  • Click With Selected Jobs

  • Click Batch Query Docs

  • Make Court status note: Frequent item: 13

  • Assign to Sent to Court

PRINTING COURT LABELS AND MAILING:

  • ALL Justice courts will go to the designated court listed on the documents. You can print from the case screen OR save address into your Dymo Label Program.

  • ALL County and District courts will go to the CLERK of the court. We do not mail to these specific courts to retrieve citations. EXAMPLE: 101st Harris District will be mailed to Harris District Clerk. Harris County Court at Law 1, 2, 3, 4, and 5 will all be mailed to Harris County Clerk. Address can be located by looking at the Court TBD profile.

  • Check Label to ensure it matches the Court Designation on the coversheet.

  • Place documents in envelope with a return envelope stamped with TX for the court to return the Citation.

  • Attach court label to envelope.

  • Run envelopes through postage.
