Purpose

In accordance with applicable law, EZ Messenger employs safeguards to ensure that the existence of amounts of the consumer’s debt and/or any confidential information are not disclosed to third parties. We take all reasonable steps necessary to protect the confidentiality of the consumer information and will prevent any unauthorized use of that information. Procedures to protect consumer information will also be trained and tested in our Security Policy. All employees of EZ Messenger will comply with this policy and the Security Policy.

Responsibilities

All EZ Messenger’s employees are responsible for adhering to this Policy. Failure to adhere to this policy may result in disciplinary action, per EZ Messenger’s Employee Manual.

Cell Phones/ Personal Mobile Devices

WITH THE EXCEPTION OF USING A CELL PHONE TO ACCESS THE AUTHENTICATOR TO LOG INTO YOUR PC cell phones and other personal mobile devices may only be used outside the EZ Messenger premise, in the designated break room facilities or within the lobby/common area if one exists.. See the employee manual – Cell Phone and Mobile Devices Section 400. Cell phones and other mobile devices are strictly forbidden in use or on display in EZ Messenger offices expect by approved management. A list of approved management personnel for Cell Phone Usage will be posted in each office.

Internet Usage

Internet use on company computers and company networks during work hours (paid hours) for personal reasons is forbidden. Any download or installation needed must be approved by the IT Group. See the employee manual – Internet Policy Section 408. The Company’s computer system can access the Internet for purposes of checking dockets, investigative needs and to facilitate process of service. This system is here for work purposes only. Under no circumstances is it to be utilized for personal use. This includes off-hours.

External Devices

No external devices such as headphones, USB drives, flash drives, external hard drives, mobile phones, tablets, or any other non-company provided equipment will be plugged into any network device within an EZ Messenger office. This includes any and all computers, printers, copiers, scanners or other devices. Report any violation immediately to your supervisor or office manager. See employee manual – Section 400 .

Confidential Information (NPI/PII)

Nonpublic information (NPI) or Personally identifiable information (PII), is information that can be used on its own or with other information to identify, contact, or locate a single person, or to identify an individual in context. All electronic files that contain Protected PII will reside within a protected EZM information system location. All physical files that contain Protected PII will reside within a locked file cabinet or room when not being actively viewed or modified. EZ Messenger has produced testing documents for this policy. All employees responsible for this Policy will be tested with continued testing scheduled annually. Protected PII is not to be downloaded to personal or mobile devices (such as laptops, personal digital assistants, mobile phones, tablets or removable media) or to systems outside the protection of EZM. PII will also not be sent through any form of insecure electronic communication E.g. E-mail or instant messaging systems. Significant security risks emerge when PII is transferred from a secure location to a less secure location or is disposed of improperly. When disposing of PII the physical or electronic file should be shredded or securely deleted.
