Vendor Operations Automation
Giddy, having a sensation of whirling and a tendency to fall or stagger; dizzy. A word I never thought I would use when chatting about Vendor Operations and Automation. I am plum giddy over the progress and the results Vendor Operations is seeing and preparing to see in the next few days.
COVID downsizing left Vendor Ops down about 10ish staff members. Jobs were still flowing, recruiting was a bigger need than ever, vendors were going on leave, it was just a disaster waiting to happen. Remaining staff members spent countless hours clicking buttons for job reassignment, stale attempt messages, phone calls, etc. After about 7 days, it was the circle of death and it was only growing.
Let's fast forward to the end of May! Automation has come to life....
Around the beginning of May, Vendor Ops Automation document started to find some life. James, Robert, IC Mike and team have jumped in head first. The journey thus far has been rewarding. As of the end of May, the following is automated, no touches!
Due Dates -
Vendors are notified 24 hours prior to due date.
Vendors are notified, job is pulled the morning following the due date.
Stale Acceptance -
Vendors are notified at 48 hours, job is placed on the Picker
Vendors are notified at 72 hours, job is reassigned and vendor is opted out of zip code.
Stale Attempt -
Vendors are notified at 72 hours.
Vendors are notified at 96 hours, job is placed on the Picker.
Vendors are notified at 120 hours, job is reassigned and vendor is opted out of zip code.
This seems so small to some, but this will allow Vendor Operations staffing to focus on coaching vs hand holding. It will be an ugly disaster next week with jobs being reassigned, vendors being forced out of zip codes, etc... but in the end, Vendors are responsible for their actions or lack thereof.
Recruiting is aware their need may increase quickly.
Quick Tidbits:
In-Network vendors only at this time.
Areas with only 1 vendor opted in, jobs are not being pulled at this time.
Vendors who serve the TX Secretary of State has been excluded due to checks being mailed, jobs showing stale.
5 Tarrant County Court IDs have also been excluded due to original documents required.
