EZ Messenger Vendors - Vendor Status

Understanding Rookie vs Active vs Probation vs Remediation vs Suspension

Vendor Status

How EZ Messenger classifies its vendors

Effective 05/01/2019, EZ Messenger has launched an internal tagging method to help identify it's vendors. Vendor Status helps EZ Messenger team members and customers know a vendor's standing with us. Vendors may only hold one status at a time. This is separate from our Vendor Performance Rating, however poor performance may cause your status to degrees. On the other hand, improved performance will cause your status to rise.

1. Onboarding - Effective 05/01/2019 - All new EZM Vendors will begin in Onboarding status. This status is a holding place for Vendor Resources/Recruiting to finish the steps needed for compliance and operational purposes. Vendors can only transition to Rookie or Terminated status from this status.

 2. Rookie – Vendors will transition to this status from Onboarding at the discretion of HR/Vendor Resources/Recruiting and only from the Onboarding status. Rookie Vendors are afforded special “privileges”, including an inflated Capacity which will allow the vendor to receive work in the area they have opted into. Their VPR is artificially set to Good.

 3. Active - A vendor who has graduated beyond Rookie status and has no escalated performance, quality or compliance concerns.

 4. On Leave – A vendor who has elected to not receive assignments for a period of time. A This status is commonly used when a vendor goes on vacation or is otherwise dormant. Current inventory must be re-assigned if the vendor will be On Leave for more than 7 days, and in no case shall inventory be left with the vendor that has due dates becoming due during the on leave period. Affidavits should be requested from the vendor prior to the vendor going On Leave.

 5. Probation - A vendor who has ongoing issues with being rated as Under Performing. Vendors who are transitioning from On Leave, Remediation or Suspension are placed here. Jobs that are assigned to the vendor remain assigned to the vendor. All of the vendor’s opt’d in areas remain intact during Probation. The Probation period should not exceed 14 days. Vendors should either improve into Active or digress into Remediation from this status.

 6. Remediation - Vendor’s meeting this criteria are “at risk” of being suspended. The vendor is not assigned new work while under this status. The vendor’s current inventory remains assigned to the vendor. The vendor’s opt’d in areas (and applicable auto-assign) are removed during the Remediation status. Remediation steps include, but are not limited to refresher on applicable EZM policies pertaining to Vendor Operations and the VPR. A vendor may digress into Suspended, or Terminated or graduate to Probation. The Remediation period should not exceed 14 days.

 7. Suspended - A vendor who has failed to resolve issues during Probation or Remediation status, a vendor who is taking an extended leave, has quit or has severe quality or compliance issues. The vendor’s current inventory is pulled and reassigned to another vendor. All of the vendor’s opt’d into areas (and applicable auto-assign) are removed and is ineligible to opt back into areas. The vendor is assigned a liaison to perform the vendor off-boarding procedure. This includes coordinating delivery of any outstanding affidavits of service, returning current inventory held by the vendor back to EZM, and resolving commissions owed to the vendor. A vendor in this status may only be moved to Terminated, Probation or Remediation.

 8. Terminated - A vendor who is no longer eligible to receive work from EZM. The vendor no longer has access to the EZM Vendor Portal during this status. A vendor can not have any work assigned, affidavits outstanding, nor any commissions owed when in this status. Once a vendor reaches Terminated, they may only be assigned to Onboarding status and only by HR privileges.
